Position: Operations Manager

Working Hours: 40 hours per week; Eastern Standard Timezone. Specific hours will be discussed by the client during the interview. However, to set proper expectations, please note that the shift will be during the graveyard shift in the Philippine Timezone.

Salary Range: 1250 - 1700 USD / Monthly

About the role:

As an Operations Manager , you will play a crucial role in ensuring the seamless execution of various projects for this client with its B2B customers. Client's customers include the largest CPG brands in the world, as well as growth stage fast-growing brands too. Your responsibilities will include overseeing project management, coordinating quotes, managing shipping logistics, and handling client communications. You will also be responsible for designing and implementing processes, managing budgets, and ensuring clear communication between teams. This role demands an excellent communicator with a bias for action and proficiency in tools like Monday.com, Notion, and Google Suite. You will be instrumental in driving operational efficiency and contributing to the success of our mission.

Key Responsibilities:

  • Project Management: Oversee and manage various projects, ensuring timely and successful completion.
  • Quote Coordination: Handle the preparation and coordination of quotes, working closely with the sales and finance departments.
  • Shipping Management: Coordinate and manage shipping logistics to ensure efficient and timely delivery of products. Understand and manage logistics and shipping requirements.
  • Client Communications: Serve as the primary point of contact for clients, addressing inquiries, resolving issues, and maintaining strong relationships.
  • Calls & Meetings: Participate in regular calls and meetings with clients and internal teams to discuss project updates, address concerns, and facilitate smooth operations.
  • Cross-Departmental Coordination: Interface with different departments to ensure cohesive and efficient operations.
  • Monday.com Management: Utilize Monday.com to manage workflows, track progress, and ensure team collaboration.
  • Document & File Management: Manage and own the tracking and storage of documents and files using Notion and Google Suite.
  • Identify Priorities: Assess and prioritize tasks to ensure efficient workflow and project completion.
  • Clear Communication: Ensure clear communication between teams and coordinate with multiple stakeholders.
  • Process Design & Implementation: Design and implement processes to improve operational efficiency.
  • Policy Creation: Create policies that reward excellent work and foster a positive work environment.
  • Budget & Finance Oversight: Oversee budgets and finances to ensure fiscal responsibility.

Requirements: 

  • Excellent Communication Skills: Fluent in English with the ability to communicate clearly and effectively, both verbally and in writing.

  • Professionalism: Maintain a high level of professionalism in all interactions and tasks.

Requirements

  • Minimum of 4 years of experience in operations management or a related field.
  • Strong background in project management, shipping logistics, and client communications.
  • Experience using Monday.com, Notion, Google Suite, or similar project management and documentation platforms is required.
  • Must be willing to work in the EST time zone (to overlap with the UK/Europe office and customers, as well as the CA HQ).
