Job Summary: The Interior Design Executive Assistant will support our interior design team. They will have a passion for interior design, exceptional organizational skills, and the ability to thrive in a fast-paced environment. This role will involve providing administrative support to interior designer, managing client communications, coordinating project logistics, and ensuring the smooth operation of daily activities within the department.
Key Role Responsibilities: - Communicate with multiple vendors, product representatives, and other contacts
- Order samples
- Maintain and organize sample library
- Attend meetings and take notes
- Assist with digital presentations (PowerPoint or Google slide presentations)
- Print and organize presentation materials
- Track Interior Designer’s projects in project management software
- Obtain quotes and coordinate with accounting department to place orders for projects
- Assist with scheduling meetings.
- Coordinate with Interior Designer, vendors, distributors, contractors, accounting, and warehouse on ordering material for projects
- Assist with material take-offs for projects (future, I can teach)
- Assist with establishing new trade sources
- Assist with trade account set-up and maintenance
- Work alongside Interior Designer at end-stage of projects on final staging

Knowledge, Skills & Abilities: • Previous experience as an executive assistant
• Highly organized
• Ability to take initiative and follow-up with vendors or other contacts a must
• Comfortable working with Google Drive software (previous experience with MS Office)
• Previous experience with project management software such as Monday or willingness to learn
• Interest or knowledge of construction or interior design is a plus.
• Ability to read and understand floor plans a plus - or willingness to learn.
• Understanding of design principles and trends to contribute effectively to design discussions.
• Ability to anticipate challenges and proactively find solutions.
• Ability to work effectively in a fast-paced, dynamic environment with multiple priorities and stakeholders.
• Knowledge of industry standards, trends, and best practices in interior design.
• Ability to work collaboratively in a team environment and independently when necessary.
• Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.
Education & Experience: • Education: A degree in interior design, architecture, business administration, or a related field.
• Experience: Previous experience in a similar role within the interior design industry or in executive support roles.
Working Environment: • Will require periods of travel.
• Must be willing to work non-traditional hours to meet project needs.
• Assignment location may include project sites and/or in the office.
• Frequent activity: Sitting, Viewing Computer Screen.
• Occasional activity: standing, walking.
