Position Summary

The Facilities Manager (FM) is responsible for the overall operations and maintenance of the assigned property, ensuring that it operates safely, efficiently, and in alignment with company standards. The FM’s primary goals are to deliver a safe, functional, and visually appealing environment while reducing environmental impact and driving operational excellence, cost savings, and tenant and customer satisfaction.

This role requires strong knowledge of mechanical systems, construction practices, preventative maintenance, and regulatory compliance related to commercial real estate operations. The Facilities Manager will oversee maintenance, capital projects, vendor management, safety programs, and day-to-day operational performance—balancing technical expertise with sound financial management and leadership skills.

Key Responsibilities

  • Oversee all aspects of property operations, including maintenance, housekeeping, safety, and contracted services, ensuring consistent performance and adherence to operational standards.
  • Develop and implement preventive maintenance programs using Computerized Maintenance Management Systems (CMMS) to maximize asset longevity and minimize downtime.
  • Supervise and mentor maintenance and engineering staff, fostering a culture of accountability, collaboration, and continuous improvement.
  • Manage annual operating and capital budgets, including forecasting, expense tracking, and financial reporting, to support business objectives and improve NOI.
  • Coordinate tenant and landlord construction activities, ensuring compliance with design standards, schedules, and safety protocols.
  • Oversee procurement, vendor selection, and contract administration for facility-related services and supplies through a structured RFP process.
  • Ensure compliance with all state, federal, and local regulations, including life safety, OSHA, and environmental standards.
  • Lead emergency preparedness, communications, and response planning for the property, including fire and life safety systems.
  • Monitor building systems—including HVAC, electrical, plumbing, elevators, and vertical transportation—through testing, inspections, and performance analysis.
  • Identify and manage capital improvement projects, coordinating with ownership, contractors, and local authorities to complete work on time and within budget.
  • Maintain accurate and current records for permits, certificates, inspections, and insurance documentation.
  • Collaborate with marketing and leasing teams to support property events, community engagement, and tenant relations initiatives.
  • Promote sustainable practices and resource efficiency through waste reduction, recycling, and energy conservation programs.
  • Build and maintain positive relationships with tenants, city officials, vendors, and community stakeholders.
  • Provide timely operational reports, inspections, and updates to ownership and management leadership.

Qualifications

  • High school diploma or equivalent required, bachelor’s degree in Facility Management, Engineering, Business, or related field preferred.
  • 3–5 years of experience in property or facilities management, construction management, or operations leadership within commercial real estate.
  • Minimum of 3 years of supervisory experience leading maintenance or engineering teams.
  • Strong mechanical aptitude and working knowledge of HVAC, electrical, plumbing, and building systems.
  • Proficiency with Microsoft Office Suite and familiarity with CMMS or building automation systems.
  • Exceptional organizational, leadership, and communication skills.
  • Proven ability to manage multiple priorities and deliver results under pressure.
  • Demonstrated success in budget preparation, cost control, and vendor management.
  • Ability to work flexible hours, including nights, weekends, and holidays as needed.
